Set Three Weekly Priorities, Each with an Owner and a Date

Busy weeks fill up with urgent work. A short, visible priority list keeps the important work moving.

  1. At the start of the week, list no more than three priorities for the practice.
  2. Give each one a single named owner and a specific due date.
  3. Review the list at the end of the week: done, not done, and what got in the way.
Discuss with your team: Which priority from last month never had a clear owner, and what happened to it?

Review Your Exam-Only Rate and the Patient Handoff

Patients who leave after the exam without a next step are often a handoff problem, not a sales problem.

  1. Pull the share of last month's patients who left with an exam only.
  2. Walk through what happens between the exam room and the optical, step by step.
  3. Agree on one change to how the doctor's recommendation is passed to the next team member.
Discuss with your team: What does a patient hear in the last two minutes of the exam, and does the next person hear it too?

Clarify Role Expectations and Coaching

Most performance frustration starts with expectations that were never written down.

  1. Pick one role and write three to five outcomes that define doing it well.
  2. Share them with the team member and ask what is unclear or missing.
  3. Set a recurring short coaching conversation to review progress against those outcomes.
Discuss with your team: If we asked each team member to describe their role, would their answer match ours?

Review the Booking Journey

The patient experience starts long before check-in. Booking is often the first impression.

  1. Book an appointment the way a new patient would: phone, website, or both.
  2. Note every delay, unclear question or point where you could have given up.
  3. Choose the single biggest friction point and assign someone to fix it this month.
Discuss with your team: How far out is our next available appointment, and how does that feel to a new patient?

Review Consistent KPI Trends

One month of numbers tells you little. A consistent trend tells you where to look.

  1. Choose a short set of KPIs and measure them the same way every month.
  2. Compare the last several months side by side rather than month against month.
  3. Discuss any steady rise or decline as a team and agree on one question to investigate.
Discuss with your team: Which number have we been explaining away, and what would it tell us if we stopped?
